Privacy Policy

1. What We Collect
Gaodim collects only the minimum data needed to split bills:
- Receipt images you send to the bot — processed to extract item names, prices, and totals.
- Telegram profile data — your Telegram user ID, first name, and username (if public), used to identify participants in a split.
- PayNow numbers — if voluntarily provided by the payer for payment collection.
- Contact form submissions — your Telegram handle and message, if you choose to contact us.
2. How We Use Your Data
- Receipt images are sent to OpenAI's API for text extraction. OpenAI's data usage policy applies to this processing.
- Extracted receipt data (items, prices, totals) is stored temporarily to facilitate the bill split and is retained in session logs for operational purposes.
- Telegram profile information is used solely to display participant names within the split.
- We do not sell, rent, or share your personal data with third parties for marketing purposes.
3. Data Storage & Retention
- Active split sessions are stored for up to 14 days from creation, after which they are archived. Archived sessions can be revived by the bill payer if needed.
- Finalised split records (merchant name, item breakdown, settlement amounts, participant names, PayNow numbers used for the QR code) are retained for your reference in the bot's history feature.
- Receipt images are stored on our server while the session is active and may be retained for up to 90 days after the split is finalised, then deleted.
- User profile data (Telegram ID, username, first name, group memberships, scan counts) is retained while you continue to use the bot.
- Contact form submissions are retained until reviewed by our team; messages are deleted after 90 days of inactivity.
- All data is stored on a secured server hosted in Singapore.
3a. Your Rights
You have the right to access, correct, and delete your personal data at any time. To exercise these rights:
- Access & Export: Open the Gaodim mini app, go to My Profile → Settings, and tap Export My Data to download a JSON file of everything we store about you.
- Deletion: In the same Settings page, tap Delete My Account to permanently remove your data. This action is irreversible. Your name will be anonymised in any historical splits where other users are still owed money, but the financial records will be preserved for those parties.
- Other requests: For requests we cannot fulfil through the mini app, contact us via the form on our home page. We aim to respond within 30 days.
4. Security
We implement reasonable security measures to protect your data, including encrypted connections (HTTPS), secure server hosting, and access controls on stored data. However, no system is 100% secure, and we cannot guarantee absolute security.
5. Changes to This Policy
We may update this policy from time to time. Changes will be reflected on this page with an updated "Last updated" date.
